The Senior Fundraising Events Manager – Central Texas leads the planning and execution of major fundraising and donor stewardship events for Wonders & Worries in Central Texas
Position Summary: The Senior Fundraising Events Manager – Central Texas takes the lead role in planning and executing events that financially benefit Wonders & Worries in Central Texas. This position is responsible for ensuring high-quality and cost-efficient execution of three annual fundraisers (Envision Gala, No Worries Classic Sporting Clay Shoot, and Urban Scavenger Hunt) and one annual major donor appreciation event. It requires attention to detail, superior project management and time management skills, committee leadership, and strong communication skills.
The Senior Fundraising Events Manager – Central Texas reports to the Senior Director of Development & Outreach – Central Texas and works closely with the Junior Fundraising Events Manager, CFO, vendors, marketing team, event committees, volunteers, and sponsors to further the mission of Wonders & Worries.
Role and Responsibilities
Events Management
- Serve as the main point of contact for three major events – No Worries Classic Sporting Clay Shoot, Urban Scavenger Hunt, Envision Gala, and Major Donor Appreciation Event.
- Create and manage event budgets in collaboration with the Senior Director of Development & Outreach – Central Texas to meet fundraising goals.
- Oversee all event details including, but not limited to ticketing, volunteers and staffing, contracts, program production, decorations, food and beverage, audio visuals, peer-to-peer fundraising, vendors, and signage.
- Assist in the maintenance of accurate database records in Salesforce and Better Unite in collaboration with the Data Specialist and Sr. Director of Development & Outreach – Central Texas.
- Maintain records in SharePoint of event materials (contracts, meeting notes, timelines, invoices, vendors, volunteers, etc.) to preserve database integrity (including post event updates).
- Work with event donors and sponsors to ensure their sponsorships are executed appropriately, including promotion on social media and website.
- Manage ongoing relationships with graphic designers, printers and other vendors.
- Create agendas and lead event planning committee meetings. Work closely with committee chairs to make sure they are supported, have the information/materials they need, and keep them on track with goals.
- Regularly communicate with Sr. Director of Development & Outreach – Central Texas to stay appraised of event and fundraiser progress.
- Work with client families to prepare them to share their story at the event.
- Purchase prizes, supplies and in-house printing materials for events.
- Coordinate the pick-up and delivery of all in-kind donations, prizes and gifts for events, including post-event follow-up.
- Participate in the research, evaluate, set up, and assess performance of event platforms if the desire to change arises.
Fundraising and Stewardship
- Coordinate all bulk mailings and lists for email campaigns for major fundraising events with Director of Marketing and Junior Fundraising Events Manager.
- Work with the Sr. Director of Development – Central Texas and the Donor Relationship Manager on stewardship for major events, including all communication of receipts and impact.
- Oversees the execution of the social media/email marketing plan in coordination with the Event Intern and marketing team.
Volunteer Management
- Manage volunteers required for major fundraisers (training, registration process).
- Oversees the recruitment, functioning, and stewardship of major event committees in collaboration with the Sr. Director of Development – Central Texas and the Donor Relationship Manager.
Required Skills/Abilities
- Experience with planning and executing fundraising events
- Excellent management and supervisory skills
- Strong project management and time management abilities
- Outstanding written and verbal communication skills
- Proficient in Microsoft Office Suite
Education and Experience
- Bachelor’s degree required
- Experience in event planning and nonprofit fundraising preferred
